Opening a fallback procedure if the transit departure has already been sent

If you have already sent out your transit declaration before the connection to the e-customs system was interrupted, copy the earlier transit departure for the fallback procedure. Print out a paper copy of the copied declaration as a fallback document. Finish by canceling the original transit departure.

  1. Open a transit declaration with the status of Sent or Accepted. From the Assistant pane, go to the Copy for fallback procedure action.
  2. In the Fallback procedure window, enter the ticket number and ticket date if you have received them from the customs authorities.
  3. A copy of the transit departure with “Fallback procedure” added to the title opens in a separate window. Additional notes on the fallback procedure are displayed on the Customs information sheet of both the original transit departure and the copy.
  4. Print fallback document: Switch to the Documents sheet, select the fallback document (FALLBACK type) and click on the Print/Outputbutton.
  5. The status of the transit declaration changes to Fallback document / Fallback document printed. The fields are now locked to prevent any additional input.
  6. The next steps vary depending on whether you are using the normal procedure or simplified procedure.

Further processing in the normal procedure

  1. Submit the transit declaration in paper format when the goods are presented at the office of departure.
  2. To complete the transit departure: To move the status of the declaration to Completed, go to the open transit departure, click on the Complete manually message in the Assistant pane, and enter any note applicable to the completion.
  3. Cancel original transit declaration:
    – Open the original transit departure.
    – Click on the Send cancellation request message in the Assistant pane.
    – Enter a reason for the cancellation and click Send.
  4. The status of the transit departure changes to Sent / Cancellation sent, Cancellation variant.
  5. After the customs authorities have replied with a cancellation confirmation, the status of the transit departure changes to Canceled.

Further processing in the simplified procedure

In the simplified procedure (authorized consignor), it is not necessary to submit the transit declaration in paper format to the customs office of departure. The required stamps are applied to the fallback document.

  1. To complete the transit departure: To move the status of the declaration to Completed, go to the open transit departure, click on the Complete manually message in the Assistant pane, and enter any note applicable to the completion.
  2. Cancel original transit declaration:
    – Open the original transit departure.
    – Click on the Send cancellation request message in the Assistant pane.
    – Enter a reason for the cancellation and click Send.
  3. The status of the transit departure changes to Sent / Cancellation sent, Cancellation variant.
  4. After the customs authorities have replied with a cancellation confirmation, the status of the transit departure changes to Canceled.

Notes

At the top of the Customs declarations overview, you can set the Variant filter to Fallback procedure if you wish to display only customs declarations created in fallback procedure.

You can deactivate the fallback procedure as long as the fallback document has not yet been printed. Open the customs declaration. From the Assistant pane, go to the Actions group and click Deactivate fallback procedure. This also removes the additional information in the items.

If you review the stamped version of the fallback document and find that changes to the declaration data are needed, you can reset the fallback document in order to edit the transit departure fields again.

Go to the Documents sheet, right-click on the fallback document, and select Reset document. Now you can edit the declaration data. Follow the prompts of the Assistant to continue.
